Data retention and deletion

This page adds detail to section 7 of our Privacy Policy. Real estate professionals use UplevelRE to keep records about their clients and leads. Those records belong to the workspace, and the workspace decides when to delete them.

Each limit is applied by a cleanup that runs every day, so information can outlast its limit by about a day.

When a contact is deleted

Deleting a contact in UplevelRE, whether one at a time, in bulk, through the API or by asking Jan, erases what the person sent and said:

  • the contact record, its activity history, notes, tags and occasions;
  • the words of every text message, and the person's phone number on those messages;
  • emails with the person and their conversation threads;
  • lead emails forwarded into UplevelRE, including the original message;
  • call transcripts, call summaries, suggested follow-ups and voicemail recordings;
  • their visits, page views and form answers on the workspace's websites;
  • their account on those websites, with its saved homes and searches;
  • their details on bookings, and messages sent with showing requests;
  • queued and finished background work and notifications about them.

Some information stays, for these reasons:

  • Opt-outs. If the person unsubscribed, asked not to be contacted, or their email bounced or was reported as spam, we keep that so they are not contacted again if they are added back. Email opt-outs are kept as a one-way hash of the address and the workspace, never the address itself. Text opt-outs are kept by phone number, because carriers require senders to honor a STOP reply for that number.
  • Usage records. Each text and call keeps a record without its content or the person's number, because texts and calls are billed from them. Email campaigns keep their send counts without the address.
  • Business records. Deals, tasks, transactions and appointments belong to the agent and stay, without the link to the person.
  • Jan conversations. Conversations with Jan that mention the person stay until they are deleted or reach the workspace's limit for Jan conversations.
  • Security activity. We record that a deletion happened and who made it, not whose record it was.
  • Backups. Deleted information stays in encrypted backups for up to 35 days.

When a website account is deleted

A visitor who created an account on a website built with UplevelRE can delete it from the “Manage or delete your account” link in its listing alert emails. The agent who runs the site can delete it too. Deleting the account removes its sign-in, saved homes, saved searches and listing alert history, and stops those alerts. The agent keeps their contact record unless they delete it as well.

Website visitors

Websites built with UplevelRE count page views with a first-party visitor id kept in the browser's storage and in a cookie that expires after a year. We do not store a visitor's IP address with page views. We store a hash of it made with a random value that changes every day and is deleted once the day is over, so it cannot be traced back to the address or linked across days. We use it only to stop abuse. Browsers that send a Global Privacy Control signal get no visitor id and are not counted.

Asking us to delete information

If an agent who uses UplevelRE holds information about you, ask them first: they control their records and can delete them. You can also write to [email protected] and we will help.
