Video walkthrough

The video for this guide isn’t recorded yet. Every step it will show is written out below.

  1. 1. Where imports live
  2. 2. A CSV file, column by column
  3. 3. Follow Up Boss in one pass
  4. 4. Checking the result
  5. 5. Undoing an import

What it’s for

Your contacts are what everything else in Uplevel works from: the Inbox matches email and texts to them, smart lists sort them and automations follow up with them. Importing them is usually the first real step after setting up your profile.

You can import a CSV file exported from any CRM or spreadsheet, your LinkedIn connections, or everything from Follow Up Boss in one pass. Each import shows you what it will do before it saves anything, and each one can be undone afterward.

Before you start

  • Owner or admin access to the workspace. Other members can see the import history but not start an import.
  • For a CSV: a file with column headers in the first row, up to 25 MB. Commas, semicolons and tabs all work as separators.
  • For Follow Up Boss: an API key. In Follow Up Boss, go to Admin → API and create a key with read access.

Steps

  1. Step 1: Open Import/Export Data

Go to Settings → Import/Export Data. The Import Data tab asks where your data lives today:

    • Follow Up Boss brings contacts with their notes, deals, households, and logged texts and calls.
    • LinkedIn connections reads the Connections.csv file LinkedIn sends you.
    • CSV file works with a spreadsheet exported from any other CRM.

You can also start from Contacts: with no contacts yet, the page offers Import contacts.

  2. Step 2: Map your CSV columns

Choose CSV file, pick your file and choose Upload and continue. Uplevel reads the headers and suggests a field for each column. Each row shows the column, a sample value and what it Imports as.

    • Change any suggestion, or choose Don’t import for a column you don’t want.
    • Map at least one of first name, last name, email or phone.
    • Rows that match an existing contact’s email or phone are skipped, never overwritten.

Below the columns you can tag every imported contact, for example "Spring open house", and choose whether missing contact stages and lead sources are created. Choose Start import when the preview looks right.

  3. Step 3: Record text consent if your file has it

If you map a column that says who agreed to receive texts, Uplevel asks for the SMS consent disclosure: the wording those people agreed to, such as the line on your open-house sign-in sheet. It is stored word for word with each consent record.

Consent only applies to the mapped phone column, and it never overrides anyone who has already opted out.

  4. Step 4: Or import from Follow Up Boss

Choose Follow Up Boss, paste your API key and choose Validate and preview. Nothing is added yet. You see how many contacts, tags, lead sources, notes, texts, calls and deals Uplevel found, and the limits that apply.

Choose Choose what to import and turn off anything you don't want. You can limit the import to contacts updated after a date, to certain stages or lead sources, and include or leave out archived contacts. Then Review mappings and start the import.

Texts and calls come over as Follow Up Boss logged them. Call recordings and voicemail audio stay in Follow Up Boss. Your key is removed for good once the import finishes or is canceled.

  5. Step 5: Check the result, or undo it

The import runs in the background, and the page shows how many records were imported, skipped and failed. Every import is listed on the History tab.

To take one back, choose Undo import on its row. Uplevel shows what will be removed and what will be kept before you confirm:

    • Only what the import created is removed. Contacts that were already in Uplevel aren't touched.
    • A contact you have since called, texted, emailed, noted or added to a deal is kept, with everything on it.
    • Text consent records stay, so an opt-out the import brought in still applies.

What happens next

Imported contacts appear in Contacts with their stages, tags and lead sources. Their email shows up in the Inbox once you connect Gmail, and they are ready for smart lists, broadcasts and automations.

Importing doesn't send anything to anyone and doesn't start automations, so you can import first and decide how to follow up afterward.

If something’s off

Some rows were skipped.
A row whose email or phone matches a contact already in Uplevel is skipped rather than overwritten. The History tab shows how many were skipped and failed for each source.
Follow Up Boss says the key is invalid.
Create a new key under Admin → API in Follow Up Boss and paste it without spaces. The key needs read access.
There is no Undo import on an old import.
Undo works once per import, and only for imports that recorded what they created. Very early imports did not, so they can’t be undone.
I can’t see the Import Data tab.
Only owners and admins can import. Ask one of them, or ask for admin access.

Ask Jan to do it

Jan is the assistant built into Uplevel. Type any of these into Ask Jan in your dashboard. Jan can’t upload a CSV file for you. Upload the file yourself, then ask Jan about the mapping.

“Import my contacts from Follow Up Boss.”
Jan asks for your API key, shows what it found, then shows a card to confirm before the import starts.
“Undo yesterday’s CSV import.”
Jan shows what the import brought in and what would be kept, then asks you to confirm before removing anything.
“Take me to where I import a CSV.”
Jan opens Settings → Import/Export Data. With the column mapping open, Jan can also help you review its suggestions.
